Data Privacy Notice

At Global Wind Organisation (“GWO”, “we”, “us”, “our”) we care about the protection of your personal data. By law, we must also inform you about how we process and share personal data about you.

GWO has designed its data privacy policy to be in compliance with the European Union General Data Protection Regulations (“GDPR”).

Purpose of processing activities and categories of personal information

Website visit, contact form, statistics and analytics

Purpose of processing activity

When you visit our website, we collect data via cookies based on your consent. We do this to improve the user experience and the content of our website. If you submit a request via our request form, we process the data you supply in your request to handle your request.

Categories of personal data

IP address, interaction with website i.e. clicks and what sites you visit email address, WINDA ID and the subject matter of your request

Legal basis of the processing activity

Consent, GDPR, article 6(1)(a) in relation to statistics and analytics.

Legitimate interest, GDPR, article 6(1)(f) in relation to requests and functionality of the website.

Retention of personal data

Statistics and analytics are anonymized immediately after collection.

Requests are stored until the request has been managed.

Newsletter sign up

Purpose of processing activity

GWO processes person information if you sign up to receive our newsletter. Further GWO process personal data in relation to your interactions with the newsletter to improve and optimise the content.

Categories of personal data

Name, country, email address, documentation for your consent and your interaction with the newsletter. Interaction with the newsletter is processed as aggregated data after collection.

Legal basis of the processing activity

Consent, GDPR, article6(1)(a).

Retention of personal data

Until you withdraw your consent, or if the consent has been inactive for a year.

Job applications and recruitment

Purpose of processing activity

When you apply for a job position, GWO processes personal data to evaluate your qualifications for the relevant job position, to contact in conjunction with your application and the recruiting process in general and to conduct interviews and personality tests in relation to the recruitment process.

Categories of personal data

CV, application, name, contact information, results of personality test, notes from the interview and other information provided during the recruitment.

Legal basis of the processing activity

Legitimate interest, GDPR, Article 6(1)(f). GWO’s legitimate interest comprises of being able to evaluate each applicants’ qualifications for a job position and choose the most qualified candidate.

When applying for a posted job position an extended storage period for future job openings is based on your consent, article 6(1)(a).

Retention of personal data

Personal data processed in relation to solicited application are stored for up to 2 months after the recruitment process is completed. If a consent is provided personal information is stored for 6 months or until withdrawal of consent. After 6 months the candidate is presented with the opportunity to extend the consent for another 6 months.

Personal data processed in relation to unsolicited application are stored for up to 6 months. After 6 months the candidate is presented with the opportunity to extend the consent for another 6 months.

Business partners

Purpose of processing activity

When you interact with us as a business partner, we process any information provided in your communication with GWO. I.e. in relation to sponsorship, supplies or auditor function. Further in case of inquiries through our support function, we will process any data you provide.

Contact information and the subject matter of inquiries and communication.

Legal basis of the processing activity

Contract, cf. GDPR article 6(1)(b).

Retention of personal data

Personal data will be stored for up to 10 years after the business relation has ended.

Safety and Training Forum and Awards campaigns

Purpose of processing activity

If you sign up for an event or training session, GWO processes personal information necessary to manage your participation in the event or training.

In case of participation in our award campaign, we process any information provided to evaluate the nomination and choose award winners.

Categories of personal data

Contact information, subject matter of evaluation (award campaign).

Legal basis of the processing activity

Contract, cf. GDPR article 6(1)(b).

Retention of personal data

Information related to events and training: 1 year + 1 day.

Information related to award campaigns: all but name and company: 1 year. Name and company 5 years.

Activities on social media

Purpose of processing activity

GWO processes personal information when you interact with our social media sites. We use our social media platforms to promote GWO and the activities GWO is involved in. Your personal information is processed to improve our profile, to create statistics of activity and to communicate with you.

Depending on the activity GWO is either data controller or joint controller. Where GWO is joint controller with the social media platform we refer you to the links below, where you can find the privacy policies of the social media platforms:

Legitimate interest, cf. GDPR article 6(1)(f). GWO’s legitimate interest comprises in general promotion of GWO, communication with stakeholders and improvement of our sites.

Retention of personal data

Personal information will be stored for up to 2 years after collection. Anonymized information can be stored for a longer duration.

Disclosure of personal data to third parties

GWO does not share your personal data with any third party or with companies, organisations and individuals outside GWO, unless you consent to such disclosure or it is required by law, regulators, public authorities (in particular supervisory authorities), relevant accredited organisations or court orders or unless necessary as part of the establishment, exercise or defence of legal claims, e.g. towards legal representation.

Data processors

We use data processors who are providing IT-systems and services to us, in order for us to manage the activities described in this notice. Data processors are subject to GWO’s instructions provided via data processor agreements in accordance with GDPR article 28. GWO conducts ongoing audits of data processors to make sure they meet the requirements and obligations of the data processor agreement.

Transfer of data to third countries outside the EU/EEA

Data processors may be situated in a third country which in some instances may result in third country transfers. GWO ensures that there is a legal basis for such transfers to establish an adequate level of data protection, cf. GDPR chapter 5.

Your rights

Under the applicable national / EU data protection law, you are entitled to:

  • request access to the personal data
  • request information about your personal data and the purposes and potential recipients of this data
  • have personal data rectified or deleted
  • object to the processing of your personal data as well as the right to data portability

You also have theright to lodge a complaint with your national data protection authority (the Danish Data Protection Agency) or other public authorities governing the protection of your personal data. You will find contact information here: www.datatilsynet.dk.

Withdrawal of consent

When a processing activity is based on your consent, you have the right to withdraw your consent at any time. The lawfulness of the processing based on your consent up until your withdrawal will not be affected.
